For districts, denominations and networks

Equip every minister you serve.

Most pastors have never documented their housing allowance properly, and almost none have documented Fair Rental Value at all. It is not negligence — nobody ever taught them, and asking for help feels like admitting you should already know. A district that hands its ministers the tool, already paid for, removes the asking entirely.

Read this first

You pay for it. You never see inside it.

This is the part we will not bend on, so it belongs at the top rather than in the fine print. A pastor's housing expenses, salary, Fair Rental Value and receipts are his own. Sponsoring a seat buys that pastor a tool — it does not buy the sponsor a window into his finances.

What the sponsor receives: an invoice, the list of email addresses it gave us, and a count of how many seats are in use. That is the whole list.

What the sponsor never receives: housing numbers, salary, Fair Rental Value, expenses, receipts, reports, or whether any particular minister is using the software at all. Your sponsorship page shows a seat count, not a roster of who is doing what. There is no district dashboard into a minister's records, and we are not going to build one.

A minister who suspects his superintendent can see his finances will not enter his finances — and then the sponsorship has bought nothing. The boundary is what makes the program work, not a concession that weakens it.

Volume pricing

Every seat is full ClergyTrak Pro for one year — the same product an individual pastor buys at $129, nothing withheld. Pricing is per minister, per year.

Ministers Per minister / year Example
Under 15 (individual) $129 Bought by the pastor himself, or reimbursed by his church
15–25 $109 25 ministers — $2,725 a year
26–50 $99 40 ministers — $3,960 a year
51 and up $89 75 ministers — $6,675 a year

You will never pay more for fewer ministers. If your count sits just under a break — 14 rather than 15, or 25 rather than 26 — we apply whichever price is lower. Crossing a threshold should never be the cheaper option, so we simply don't let it be.

A church with a few ministers on staff is usually better served the simple way: each pastor keeps his own account at $129, and most churches can reimburse it from the operating budget under their accountable plan. That path is worth a look first — it needs no agreement with us, and the record stays where a church auditor expects to find it.

Annual term, paid once; it does not renew by itself. Need more seats mid-year? Write to us and we will add them at the same per-seat rate, pro-rated to your renewal date, so a district that grows doesn't wait a year to cover the newcomers. For a denomination covering several hundred ministers, write to us — that conversation deserves a real quote rather than a form.

What each minister gets

The whole product, for a year.

Housing and ministry expense tracking on iPhone and on the web, unlimited AI receipt scanning, and the three-number housing allowance check that shows whether a designation is actually supported. Fair Rental Value built from real local rental comparables — the number most ministers have never documented, and the one that can quietly cap the exclusion no matter what the board designated.

Then the documents other people ask them for: the Church Board Report with next year's designation and the math shown, a sample resolution the board can adopt, the Fair Rental Value source packet naming the comparables, receipt-backed year-end reports, and the free treasurer sheet that shows a church how to handle a minister's withholding correctly.

ClergyTrak provides organizational tools and educational guidance — not legal, tax or accounting advice. Each minister and his own advisor remain responsible for what he files.

How it works

Four steps, and the system does the last one.

  1. Choose how many ministers and pay. The form above prices your count, takes a card, and emails your office an invoice and receipt from Stripe.
  2. Give us their email addresses. On the form, or any time later from your sponsorship page — the link arrives in your confirmation email.
  3. Your ministers create free accounts. You forward the short note we send you; each pastor signs up with his own email, which is what keeps his records his.
  4. Pro switches on by itself. The moment a minister's account email matches the one you gave us, his year of Pro is live — nobody at ClergyTrak touches it. Your page shows how many seats are in use: a number, not a roster of who is doing what.

Prefer an invoice payable by check, or need something the form doesn't do? Write to us. You will hear back from Stephen — the pastor who built it — and the same sponsorship is set up by hand at the same price.

Why a district does this

It is pastoral care with a receipt.

A minister who under-documents his housing allowance overpays his taxes quietly, for years, and never knows. One who over-designates without support carries a risk he cannot see. Either way the cost lands on a household that is usually already stretched, and it compounds — the pastor who retires having overpaid for twenty years does not get those years back.

A district that covers this is not buying software. It is removing a burden its ministers have been carrying alone, before the next one arrives at a retirement he cannot afford. For most districts, the annual cost is smaller than what a single minister loses to an undocumented allowance in one year.

ClergyTrak is built by a pastor of forty years who wrestled with the same shoebox of receipts every spring. The guides are free to everyone, sponsored or not — start there if you want to see how we talk to ministers before you decide.

Rather talk first?

Tell us who you serve.

For an invoice payable by check, a denomination of several hundred ministers, or a question before you commit, write to us with your district or denomination, roughly how many ministers, and when your budget year starts. You will hear back from Stephen — the pastor who built it — not a sales team, because there isn't one.
